Terms of Use and Personal Data Processing

By using this website and submitting a team registration form, you agree to these terms and acknowledge how your data is processed for the purpose of organizing the hackathon.

Organizer

What this website is for

This website is used to:

  • provide event information
  • collect hackathon team registrations
  • send confirmation emails
  • manage participation and logistics

Who can register

  • One registration is submitted per team.
  • A team must consist of exactly 3 participants.
  • Each participant must confirm participation by email.
  • Incomplete or inaccurate registrations may be rejected.

What data we collect

We may collect for each participant:

  • first name and last name
  • phone number
  • Telegram username
  • email address
  • course
  • specialty
  • department
  • educational institution

We may also collect technical metadata such as:

  • registration date and time
  • language preference
  • UTM parameters or source
  • basic technical request metadata needed for security and system operation

Why we process this data

Purposes include:

  • registration and participant verification
  • communication about the hackathon
  • logistics and team management
  • fraud and spam prevention
  • security and service administration
  • internal event analytics in aggregated or operational form

Data confirmation emails

Each participant will receive an email with a unique confirmation link. Participation is considered confirmed only after that step is completed.

Data retention

Registration data is stored only for as long as reasonably necessary for event organization, communication, reporting, security, and any applicable legal obligations. After that period, data may be deleted, anonymized, or archived in a limited-access form.

Data sharing

We do not sell your data.

Data may be shared only with:

  • service providers needed to operate the website and email delivery
  • authorized organizers or administrators involved in event operations
  • public authorities where required by law

International data processing

Some service providers may process data outside Ukraine and, where applicable, outside the EEA/UK. Where required, we use reasonable safeguards for such transfers.

Information security

  • We apply reasonable technical and organizational security measures.
  • Access to data is restricted where needed.
  • We use authentication, access control, and logging where appropriate.
  • Our security approach is aligned with information security management practices and ISO/IEC 27001 principles. We do not claim certification unless separately stated.

Your rights

You may request access, correction, update, or deletion of your personal data, and may contact the organizer regarding data processing questions.

Where applicable law provides, you may also have the right to object or to request restriction of processing.
